Position Purpose: To provide administrative and project support to the Washington Home Sales Team as directed by Jérel Washington. This position consists of a variety of tasks which may vary by quarter and may also be covered by general operating procedures. Independent judgment is required to deal with situations that may arise and will require effective resolution.
Duties and Responsibilities:
1. Answer, route and respond to incoming Phone Calls, Emails, Facsimiles and voice messages from existing clients, prospects and other real estate agents that may require call screening, fielding routine inquiries & resolving issues.
2. Address and resolve customer complaints or other issues, referring to Team Leads as necessary, through telephone and written correspondence, and follow through to ensure that resolution is in line with the Team’s goals.
3. Assist the Team Leader in maintaining various team schedules which will include meetings, training sessions, budgets, etc.
4. Occasionally research and prepare reports relating to team projects, activities, etc., and maintain a record of all correspondence in supporting files.
5. Ensure all team paperwork is submitted to the office staff by office deadlines.
6. Maintain Team database; manage office supplies and monitor supply budget; and coordinate facility maintenance if needed.
7. Ensure all print and marketing material is prepared for proof and order.
8. Take charge and manage special projects as needed.
Essential Job Functions:
1. Interact professionally and effectively through verbal and written communication with all professional contacts with emphasis on Team & Company interests.
2. Efficiently create complex documents and/or reports using the MS-Office Suite of tools i.e. MS-Word, MS-Excel, MS-Project, MS-PowerPoint etc...
3. Independently prioritize and accomplish assignments within established time frames
4. Accurately transcribe meeting minutes and/or correspondence when needed
5. Maintain and Manage Team Websites & Systems when needed.
Nature of Supervision:
The successful candidate: Must be able to work with little supervision to prioritize and accomplish multiple tasks, although general instruction and/or functional guidance may be provided on some tasks to be performed. Must be able to address and resolve issues and take the initiative to follow through to ensure appropriate and timely resolution.
Supervisory Responsibility:
None assigned but will may increase with team growth, projects and/or temporary help.
Education:
The minimum educational background of an applicant to this position is a high school diploma; a minimum of 2-years of college education is highly preferred. Two years experience in a comparable position with similar responsibility may be substituted for college education.
Experience:
Minimum 2 years experience in a high volume clerical or sales environment & demonstrated strong written and verbal communication and organizational skills, as well as the ability to prioritize and handle several projects simultaneously. Spreadsheet, word processing, presentation & advanced internet skills are required. Database management skills are desirable but not required. The successful applicant must also maintain a professional appearance and demeanor as a representative of The Washington Group is a Full Service Real Estate Sales Team. Strong customer service background and retail experience is also preferred but not necessary.
Work Environment:
The majority of job duties are performed while seated indoors at a computer terminal with little or no exposure to hazards. Very little travel to regional meetings 1 to 3 times per year is expected. Some work may be done at home once candidate has proven their ability to work independently.
Communication:
This position requires frequent interaction with sales professionals, attorneys, and their assistants, and may involve the routine exchange of information to the resolution of moderately difficult problems. In addition, contact outside the team with vendors or customers is required to communicate information or problem resolution and negotiation.

Salary:
Commensurate with Experience plus bonus opportunity
Position Type:
Part Time for 6-9 months then Full Time possible
